Question types

Use Short Answer questions when:

• Collecting a free-response answer shorter than two sentences (e.g., Position Title or Career Goal)

• You won't be using the answer as part of a qualification

Tip: Prevent lengthy answers by setting a maximum word count.

Use Number - No Decimal questions to ask for whole-number values, like Credit Hours or Hours Worked.

Use Number - With Decimals to ask for GPA or monetary amounts.

Use Date questions to ask for birth dates or graduation dates. Applicants can enter the date in the standard MM/DD/YYYY format or by using a calendar picker.

Use Phone Number questions to ask for 10-digit phone numbers.

Tip: For international phone numbers, use a Short Answer question.

Use URL questions to ask for website addresses, online portfolios, etc.

Use Essay questions to collect longer free response answers. Applicants can see a Word Count when composing their essays.

Use Social Security Number questions to ask for standard 9-digit Social Security Numbers.

Use UID questions to ask for applicant unique user identification (UID) numbers. Usually, you'd use these questions to identify specific fields included as part of an applicant data import. For more about setting up applicant import data, see Add new user import data.

Use Name and Email Address questions to ask for reference contact information.

Once your applicant answers the question with a name and email address, the reference receives an invite to complete a reference questionnaire. This process also adds the reference as a user in your system if they didn't already have an account.

Tip: To create a Name and Email Address question, you'll need a published reference questionnaire. For more information, see Set up reference questionnaires.

Use Choose One questions to ask for a single answer from a set range of choices. There are two options:

• Radio Buttons: All possible answers are listed

• Single-Select List: All possible answers are provided in a drop-down list

Use Choose Multiple questions to ask for multiple answers from a set range of choices. There are two options:

• Checkboxes: All possible answers are listed

• Multi-Select List: All possible answers are provided in a drop-down list. Applicants can select several answers by holding the Control or Command key while selecting desired responses.

Use File questions to ask applicants to upload additional materials. These items may be reference letters, essays, or pictures under 10 MB in size.

There are two options:

• File Upload: Accepts whatever file types included in Permitted file types. If none are selected, all types are allowed (with the exception of types never permitted for security reasons, such as .html.).

• Image Upload: Accepts square images in either .png or .jpg format. Applicants can crop images when uploading their files.

Tip: To request large files or a collection of files. use a URL question. Then, ask applicants to upload all their materials to an online storage drive.

Note: If you're restricting file types on a File Upload question on the General Application, make sure to select Clear Each Cycle. Otherwise, applicants can reuse previously uploaded (and potentially non-compliant) file types.

Note: If you need to preserve the metadata for items that applicants upload, set the Question Type to File Upload.
