Academic Profile

The top of the profile displays basic information such as graduation year, enrollment status (incoming student, current student, past student, or alumnus), emergency contacts, and the name of the student's advisor. If a student's current scheduled location is available, it will display under Find me now.

The student's name appears in the following format: First Name "Preferred Name" Last Name 'YY. The header also displays any identification numbers your school uses (including Student ID, User ID, Host ID, and Global ID).

Profile notices, including active holds, will display in a banner across the top. If a student has an active learning profile and you are logged in as a user with the ability to view learning profiles, a notification will appear below the student's name.

Under More actions, you can select from the following:

• Edit summary note: Enter a short note to display under the user's name. The limit is 255 characters. This note will be visible to anyone who has access to this user's 360 Profile.

• View profile changes: A list of changes to the user profile, including what fields were modified, the date and time of the change, and who made the change. The list is searchable and sortable and can be exported to a CSV spreadsheet file.

• View communications: A list of messages sent to or regarding the user, including Pushpages, Inbox messages, and Notifications related to conduct and attendance. Select the title of any item to read it. The list is searchable and sortable and can be exported to a CSV spreadsheet file.

To modify the user's general information, contact information, and other details, go to the Contact card tab.

Open the Contact card tab on a profile. On the General information tile, select Edit and then one of the following:

• Name formats: Change the student's name, prefix, suffix, preferred name, maiden name, or bulk email greeting. Only a First name and Last name are required. Select Save to update the profile.

• Personal: Change the record of the student's gender, pronouns, date of birth, living status (Single, Married, etc.), Religion, or Affiliation. None of these fields are required. Select Save to update the profile.

• Student: Change information such as the Student ID, State ID, school program, mailbox number, locker number, and other data. Select Save to update the profile.

• Status: Select if the student is Abroad, Lost contact, Retired, or Deceased. Select Save to update the profile.

• Profile photo: Select the profile photo thumbnail to browse for a new photo on your device, or drag a photo into the profile photo area. When you select Save, the photo will appear in the header.

Open the Contact card tab on a profile and find the Contact information tile.

Select Edit, then one of the following: Addresses, Email addresses, Phone numbers, or Online presence.

Addresses

To enter a new address for a student, select + Add new address.

To enter an address that the student shares with another user at your school, select + Add shared address, then do the following:

1. Select the individual whose address you want to link. You will have the option to choose from users who are already connected to the student, such as parents, step-parents, aunts, uncles, and siblings. Select Next.

2. Any addresses associated with the individual you chose in Step 1 will appear below. Choose an address to link to the student. Select Next.

3. Choose an address type. This is how the address will be categorized on the student's profile. Select Finish.

Select the star icon to mark a preferred address. This adds a "Preferred address" label next to the address on the student's contact card.

Select the envelope icon to mark an address as the mailing address. This address will be used when generating mailing labels via mail merge.

Select the pencil icon to edit an address.

Select the trash can icon to delete an address.

Email addresses

The Email is the primary address where you will send correspondence to the student. The CC email is a secondary address that will be added into the carbon copy field on emails.

Select the crossed-out icon to mark a bad email address.

Note: Email addresses are automatically flagged as bad when Pushpages (Newsletters) cannot be delivered to them. Platform Managers and Pushpage Managers can also manually flag an address as bad. While an address is flagged as bad, it cannot be used, including with Pushpages.

Phone numbers

To enter a new phone number for a student, select + Add new phone number.

To enter a phone number that the student shares with another user at your school (for example, a sibling or a family member who is a school employee), select + Add shared phone number, then do the following:

1. Select the individual whose phone number you want to link. You can choose from users who are already connected to the student, such as parents or siblings. Select Next.

2. Choose a phone number to link. Select Next.

3. Choose a phone type, then Finish.

Select the pencil icon beside an existing phone number to edit it.

Select the trash can icon to delete a phone number.

Online presence

To enter a new online account for the student, select + Add online presence account. Select a Service (such as Zoom, Screen name, or Personal website), then enter the web address for that account. Select Done.

Select the pencil icon beside an existing online presence record to edit or delete it.

Select Save when you are finished.

A profile notice is a note about a student that is linked from a banner that displays across the top of the 360 Profile.

On the Contact card tab, find the Profile notices tile. Select + Add to create a new profile notice. Select the context menu beside an existing profile notice to edit or delete it.

If multiple profile notices are added for one student, they will all be linked from the banner. Select See details from the banner to view them all.

On the Contact card tab, find the Household tile. This displays information about a students household or households, including the address, home contact information, and the names of household members. You can select the name of a household member to open their contact card.

From the Household tile, select + Add to enter household information. Select an address associated with the student and then select a household contact, if applicable (if no contact exists for this household, select None). Select Save.

Select the context menu beside existing household information to edit or remove a household.

On the Contact card, find the Publishable fields tile. Select + Add publishable field to enter information in one of your school's customizable fields. If the student currently has information in a publishable field, select the context menu beside it to edit or delete the information.

On the Contact card, find the Citizenship/Resident tile. This tile displays information including the student's race, citizenship status, visa status, residency status, languages, and passport information.

Select the Edit menu to enter information about one of the following, as applicable:

• Race: Choose from Races (multiple options can be chosen at once), Hispanic or Latino status, and Ethnicity.

• Citizenship: Select the student's Country of citizenship and enter their Place of birth.

• Visa: Select the visa status, enter a visa number and type, and enter a visa issue date and expiration date.

• Residency: Select whether the student is an in-state resident, enter a country of residence, and select whether a student is international.

• Languages: Select a first/primary language. You can select one or more languages spoken at home.

• Passport: Enter a passport number and expiration date.

On the Contact card tab, find the Admin view only fields tile.

Select + Add admin view only fields to enter information in one of your school's customizable admin-only fields. If the student currently has information in an admin-only field, select the context menu beside it to edit or delete the information.

On the Contact card tab, find the Relationships tile. Select + Add to enter a relationship between this student and another user at your school. Select the context menu beside an existing relationship to edit or delete it.

For each relationship, you will search for an existing user at your school, choose a relationship category, and select which of the following options apply:

• Parental access: Grants the user parental access to the person on the contact card.

• List as parent: This person can be listed in directories as the student's parent.

• Responsible for signing contract: Indicates the user signs enrollment contracts.

• Resides with: Indicates that the user lives with the person on the contact card.

• Primary: Select this to for list purposes. For example, you may want a list of primary contacts for all students in a class, rather than a list of all contacts for all students.

• No contact: Select to indicate that the user should not have any contact with the person on the contact card.

• Notes: Enter a note that appears when a user expands this relationship's details int he Relationships tile.

On the Contact card tab, find the Education tile. This displays any previous schools the student has attended, along with any diplomas the student has earned.

Select + Add to enter new information for a student's time at a previous school. Enter the name of the school, then enter (optionally) the Degree/Diploma the student earned, Major, Field, Graduation year, and a Sort order to determine where this record appears on the student's education history.

Select the context menu beside an existing Education entry to edit or delete it.

On the Contact card tab, find the Hold history tile.

Select + Add a hold to put the student on hold using one of your school's hold codes.

If the student has an existing hold, select the context menu beside it to end or edit the hold.

Holds can also be managed by selecting Communication and Holds from the top menu bar in Academics. For more information about setting up holds, see Holds settings and Manage holds.

On the Contact card tab, find the Business tile. This tile displays a student's employment and business history, if applicable.

Select + Add to enter information about a student's employment history.

User profile photos (also known as avatars) can be updated in Core. For more information, see the help topic User Profile Photos (Avatars).

School employees can access and edit different parts of a student profile depending on their assigned Roles and the school's settings. Roles can be modified and assigned to users in Core. Users with the following Roles can see the Header, Summary note, Emergency contacts, Find me now, and any Banners on a student profile:

• Diploma Manager

Users with the following roles can View communications:

• Platform Manager

• Academic Group Manager

• Attendance Manager

• Grade Book Manager

• Grading Manager

• Conduct Manager

Users with the Platform Manager role can Edit summary note.
