Conduct Infractions Setup

Schools can record and track behavioral infractions, and tie them to consequences such as detentions or verbal warnings. Consequences can also be tied to absences and tardies via Attendance rules, and thresholds can be created to trigger a consequence after a certain number of infractions.

This help topic explains the Infractions tab of Conduct setup. For information on the other tabs, see Conduct Consequences Setup, Attendance Rules for Conduct, and Conduct Infraction Thresholds.

To get started:

  1. From the persona menu, navigate to Academics.

  2. Choose Conduct , then Conduct setup.

  3. You will arrive on the Infractions page.

A conduct manager can add and edit infraction types.

  1. Select + Add infraction type and enter the following:

    • Sort order
      Determines how the infraction is listed on the Infractions page. A lower number will cause the infraction to appear higher on the list.

    • Infraction Type
      Enter a label for the infraction, such as Disruptive in Class. This field is required.

    • Status
      Infractions in use should be Active.

    • Approval Required
      Mark this if a conduct manager needs to approve infractions of this type before they will show for students and their parents.

    • Points to assign
      This field will only appear if your school has is using a points system (Edit rules > Use points system). If applicable, enter the number of points to assign when adding this infraction.

  2. Set up Consequences

    • Select + Add another consequence and enter a Recurrence number, choose the Consequence, and choose when the consequence goes into effect

      Note: For example, if a student is suspended for three days, the consequence "Suspension" can have a recurrence of 3.

    • Select + Set up a new consequence to add additional consequences

  3. Choose which Grade Levels the infraction will be available for.

  4. Enable Access for each role. The roles listed are relative to the student who has been assigned an infraction. For example, if you select Parent, then only the student's parents will be notified, not all parents at the school.

    Select Visible to make the infraction visible to users via the student's Contact Card in the Student Directory. Select Notify via email to send an email to users with this role when an infraction is entered.

    Choose All School Teacherif any Teacher should be able to view a student's behavior history, or Teacher to limit access to only the student's teachers.

    Note: These settings will be overruled if Restrict faculty to only their conduct is selected on the Infractions page. With this restriction, faculty members will only see conduct entries that they themselves created.

  5. Under Faculty Access, determine if faculty members will be able to record infractions of this type.

  6. Select Save & Close.

When a type of infraction is no longer relevant, mark it Inactive. Existing infractions remain on student records.

If you have created an infraction type but your school hasets not assigned that infraction type to any students, a trash can icon will appear beside it. Select the icon to delete the infraction type, then Confirm.

If your school has assigned an infraction type to one or more students, you cannot delete the infraction type, but you can make it inactive. To do this, select the pencil icon beside the infraction type. Set the Status to Inactive. Select Save & Close.

When an infraction type is marked Inactive, staff cannot assign it to students. Existing infractions will remain on student records.

Once notifications are created, they will send to the users who have been granted access.

For infractions which do not require approval, notifications are sent when the infraction is saved.

For infractions which require approval, notifications are sent when the infraction and any consequences are approved by a conduct manager.

  1. Select E-mail Notifications next to the infraction type.

  2. Select Edit.

  3. Edit the Notification Properties.

    • Enter a name for the notification.

    • Determine if the notification is active or inactive.

  4. Edit the E-mail Notification.

    • Enter a subject for Reply E-Mails.

    • Enter the From Name which constituents will see as the sender of the notification email.

    • Enter the Subject and Body of the email, using any of the available placeholders listed.

  5. Select Save & Exit.

Your school may track behavioral infractions using a points system. You can use a points system to reset conduct counts once per school year, once each term, or during specific date ranges in a school year.

To enable a points system:

  1. Select + Edit rules.

  2. Select Use points system.

  3. Under Calculate points using, choose from these options:

    • Each term in school year: A student's conduct points will add up over the course of a term. A new count will start with each new term.

    • The entire school year: A student's conduct points will add up over the course of an academic year. A new count will start with each new year.

    • Specific date ranges for each school year: If you would like to count conduct points during date ranges within a school year, independent of academic terms, set a date range or multiple date ranges below.

  4. Select Save & Close.

You will now be able to assign point values for each infraction type. When you add or edit an infraction type, you can enter a point value under Points to assign.

Conduct points can add up until they reach Thresholds, which in turn can trigger new infractions that are associated with their own consequences. To learn more, see the heading "Set up Infractions for a Threshold System."

Infractions or conduct points can add up until they reach Thresholds, which in turn can trigger new infractions that are associated with their own consequences. Before moving over to the Thresholds tab, it can be useful to set up a unique fraction type for each threshold.

To create these special infraction types on the Infractions tab:

  1. Select + Add infraction type.

  2. Follow all of the usual steps for creating an infraction type (see "Add Infraction Type," above). When you are giving this infraction type a name, under Infraction Type, consider using a simple description like "15 Conduct Points Reached" or "5 Infractions Reached."

  3. If you would like this new infraction type to trigger its own consequences, add them under Consequences.

  4. Select Save & Close.

Now, when you go to the Thresholds tab and create a threshold, you can select the infraction you just created. For example, if your school is using a points system and you are setting up a 15-point threshold, you can assign the infraction type "15 Conduct Points Reached."

To import infraction data from a different conduct system, select Import infractions.

  1. Step 1
    Create import files by selecting Create infraction import file to download the templates provided. Not all columns listed in the template for each import are required.

    • For each template, remove the sample data and enter the conduct data for your students.

    Tip: We recommend you use a spreadsheet software program, such as Microsoft Excel.

  2. Step 2
    Save the updated file as a comma separated value (.csv) file. Select Upload infraction file.

  3. Step 3
    Decide how to handle types of conduct information that you haven't already added as Settings.

    • You can select to add the new values to the ones initially created.

    • Otherwise, you'll exclude the new information from the import and student records may be incomplete.

      Note: Infractions must first be set up in onRecord before they can be imported.

  4. Select Import now. Information is matched to students using their ID specified in the file and the Student ID.

  5. Once imported, the results appear along with any validation.

    6. Note: An exception file is created if an error occurs during the upload process or if some of the data is not imported. For each file, either update the file and re-import it, or enter the data manually from each student's record.

Conduct Imports have a few caveats to keep in mind however:

  • For each infraction, five consequences can be imported.

  • Notifications are not sent for these infractions.

  • Thresholds don't automatically trigger with these imported infractions.

  • If a status is not specified in the import, it imports as No approval necessary.

  • While infractions need to be setup beforehand, consequences can be imported in on the fly if the setting is enabled.

  • Student ID and a description are required fields.

    Tip: Use the Student List to check that students do not have the same ID as another student. This mitigates the risk of potential problems when importing students with the same Student ID.
